Scope and transaction roles
This policy distinguishes ASCA platform charges from transactions collected for an organization, seller, organizer, venue, partner, or other independent party. The checkout, receipt, order, and applicable terms must identify the responsible seller or recipient, currency, amount, fees, taxes, renewal, fulfillment, cancellation, and support path.
A refund request does not by itself determine who owes the refund. ASCA may provide payment infrastructure or records without becoming the seller, merchant of record, event organizer, fundraiser, or fulfillment party.
Platform subscriptions
Before purchase, ASCA must present the price, billing interval, renewal, included usage, cancellation method, and applicable refund or credit treatment. Cancellation normally stops future renewal; whether current-period access or a refund continues depends on the presented plan terms and applicable law.
Usage, recharge, and overage
Prepaid units, recharge packages, metered usage, and overages must identify expiration, allocation order, reversals, failed processing, and whether unused amounts are refundable. Units are not cash or stored value unless expressly approved and described as such.
ASCA releases an unconsumed reservation after an ASCA-caused processing failure rather than charging for unavailable analysis.
Marketplace and organization transactions
For merchandise, events, memberships, rentals, services, or organization sales, the identified seller or organizer generally sets the disclosed refund and cancellation terms, subject to applicable law. ASCA does not become responsible for the underlying activity merely because it provides checkout or records.
A transaction-specific policy must identify any return window, condition requirements, excluded items, proof of purchase, authorization process, shipping or in-person return method, restocking or return costs, exchange options, refund calculation, damaged or incorrect item process, cancellation deadline, no-show treatment, and legally required exceptions.
Perishable, personalized, digital, consumed, hygiene-sensitive, hazardous, time-specific, or final-sale items may require different treatment, but an exclusion applies only when it was lawfully presented and accepted.
Donations and contributions
The checkout must distinguish a donation, sponsorship, purchase, refundable deposit, reward contribution, and ordinary service fee. Donation and charitable-solicitation treatment depends on the receiving entity and jurisdiction; ASCA does not promise deductibility.
Duplicate, unauthorized, or incorrect charges
Report a suspected duplicate, unauthorized, or incorrect charge promptly. ASCA may require identity, transaction, and authority verification and may coordinate with the payment provider, seller, or organization.
Refund method and timing
Approved refunds are generally returned through the original payment method unless another lawful method is required. Processing time depends on the payment provider and financial institution. A refund record does not guarantee the receiving institution’s posting time.
The approved amount may account for the item or service price, tax, shipping, discount, credit, partial fulfillment, usage, damage, processor restriction, or another disclosed component. Fees are retained or deducted only when the applicable terms and law permit that treatment.
If the original payment method is unavailable, ASCA or the responsible seller may require verification before using another lawful method. ASCA will not ask for a password, complete payment-card number, or authentication secret to process a refund.
Cancellations and service termination
Cancellation of future renewal is different from termination of current access, rescission of a transaction, return of an item, refund of a completed period, and deletion of an account. The cancellation flow must state the effective date and any continuing access, data export, payment, usage, or offboarding consequences.
If a paid service is discontinued or materially reduced, the applicable order or plan terms determine transition, substitute service, credit, refund, or termination rights. A roadmap change does not create a refund unless an accepted commitment or mandatory law provides one.
Chargebacks and disputes
ASCA provides a review channel for a disputed ASCA charge. Requesting review does not waive any legal or payment-network right. A knowingly false or abusive payment dispute may result in restricted transaction access where permitted by the applicable agreement and law.
How to request review
Send the transaction identifier, date, amount, reason, and responsible organization to [email protected]. Do not email full payment-card details, account credentials, or unnecessary personal records.
